We are looking for a dynamic and highly organized Administrative Assistant to join our team, providing dedicated support to three Senior Directors on the Brand Team. In this critical role, you will act as a trusted partner, managing calendars, coordinating travel, organizing meetings, and overseeing special projects with precision and discretion. Your ability to streamline operations, handle confidential information, and anticipate needs will make a lasting impact on our team’s success.
What You Will Do
Manage Calendars: Oversee and prioritize the schedules of three Senior Directors, ensuring optimal time management and efficient coordination of meetings and events.
Organize Meetings: Plan and execute meetings, including setting agendas, managing logistics, and preparing briefing documents or post-meeting action items.
Coordinate Travel: Arrange complex travel plans and itineraries while ensuring alignment with scheduled commitments and budget guidelines.
Oversee Special Projects: Conduct research, analyze data, and provide actionable insights to support decision-making for strategic initiatives.
Prepare Reports: Compile and format data into clear, concise reports or presentations for team updates and decision-making.
Facilitate Communication: Act as the primary point of contact for the Senior Directors, ensuring clear and timely communication across internal and external stakeholders.
Maintain Confidentiality: Handle sensitive information with professionalism and discretion at all times.
Foster Collaboration: Work closely with other administrative staff to ensure seamless coordination across teams and departments.
Track Deadlines: Monitor and follow up on deliverables, ensuring nothing slips through the cracks.
Support Team Engagement: Attend monthly staff meetings and contribute to fostering a positive and productive team environment.
Innovate Processes: Identify opportunities for improving administrative workflows and implement solutions to enhance efficiency.
Use Technology Effectively: Leverage tools such as Outlook, Word, Excel, PowerPoint, and WebEx to support day-to-day operations.
To Be Successful You Will Have
Experience: A minimum of 6+ years in an administrative role, with at least two years supporting Director-level or higher leadership.
Technical Proficiency: Advanced skills in Microsoft Office Suite, desktop calendar management systems, and virtual meeting platforms.
Communication Skills: Exceptional verbal and written communication abilities, comfortable interacting with executives and cross-functional teams.
Attention to Detail: A meticulous eye for detail and the ability to manage multiple priorities with accuracy.
Discretion: Proven experience handling sensitive and confidential information with integrity.
Problem-Solving Ability: A proactive approach to identifying challenges and implementing effective solutions.
Adaptability: Comfortable working in a fast-paced environment, prioritizing tasks as business needs evolve.
Industry Knowledge: Experience in the Tech, SaaS, or similar fast-paced industries is preferred.
Collaboration: A team-oriented mindset with the ability to build strong working relationships across levels and departments.
