Office Assistant The Office Assistant is responsible for managing day-to-day administrative tasks to ensure smooth office operations. This role supports various teams by handling communications, organizing schedules, maintaining records, and assisting with general office needs. The ideal candidate is organized, communicative, and able to manage multiple tasks efficiently.
What You Will Do
- Handle incoming inquiries by phone, emails, and correspondence, directing them as appropriate.
- Provide primary point of contact with building staff
- Coordinate system and speakers for Global Town Halls including call set up, invitations. Ensure smooth launch and facilitation for presenters.
- Assist with the coordination of travel, particularly with regard to procuring international visas.
- Occasional scheduling and calendar coordination for staff and management.
- Order and maintain office supplies and equipment.
- Assist with organizing meetings, events, and training sessions.
- Support onboarding processes by preparing materials and coordinating logistics.
- Process invoices, expense reports, and other administrative documents.
- Collaborate with other departments to support operational needs.
- Perform general administrative duties as assigned.
To Be Successful You Will Have
- Experience in an administrative or office support role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational and time management skills.
- Good verbal and written communication skills.
- Ability to work independently and as part of a team.
- Familiarity with basic bookkeeping or accounting procedures.
- Experience with office management or project management tools.
- Customer service experience.
